Access Controls (1 of 2)

In this article, we explain how DCision ERP software is designed to control access to its functionality. We will see that it is much more than a simple password! The development of any new software functionality always involves the question of its access control.

Password Per User

The very first level of control is the password per user who controls access to the system. Various parameters can be entered to reinforce this control, including the use of special characters, forcing users to change it frequently and sending an email to managers when a user fails to enter their password.

Password Per Database

Once the user has entered his password, he must choose in which application and which company he wants to work. A database is attached to a company and to one of the applications (Financial and Accounting Management, Operations Management or Membership Management). The second level of control control that can be defined allows you to control access to a company (database) to determine which users have access to which companies.

Password and List of Users (or Roles) Authorized For Each Menu Item

Once the user has logged in to a database, you can control which features they are allowed to access. Indeed, each menu item can be controlled using a password and a list of users or a list of roles. These are defined in the management of administrative processes and can be associated with users. Thus, in the event of replacement of users, only the associations between roles and users change and not the access permissions by menus defined in each database, which is advantageous especially when you manage several companies. For more details on roles and management of administrative processes, see the related article:  Administrative Processes Management

User groups or role groups can be defined and they can then be assigned to different menu items to speed up the control updates.

When an update contains new menu items, it is possible to ask the system to block their access until a manager updates the related controls.

« Special » Password

Other passwords can be assigned to certain sections of a window or in certain contexts, for example when registering a transaction in an earlier period. Another example is the assignment of a password to a check frame containing a co-signature. Thus, a user can prepare the pre-list of checks to be issued but cannot issue them until the « owner » of the co-signature used enters their password.

Other Controls

Related to software feature access controls, there are data access controls and data entry controls. We will see these controls in the next article.

You find that there are a lot of controls ? This is indeed the case and this is one of the reasons auditors value DCision ERP software.
